Check the route and training evidence before committing to travel.

Independent planning guidance for proposed Virgin Atlantic journeys. Airline acceptance, accessibility law, government entry and veterinary fitness are separate checks; confirm every operating carrier.

Ordinary pet service is unavailable

Virgin Atlantic Cargo currently says its pet product is unavailable.

Virgin’s carriage terms restrict cabin animals to assistance dogs accompanying disabled passengers.

For an ordinary pet, arrange another accepted transport service before committing to a passenger ticket. Older cargo forms or a general reference to pets in carriage terms are not evidence that a shipment can be booked. The current service notice does not establish permanent closure.

Training and the airline’s decision

Virgin’s assistance-dog overview includes guide, hearing, psychiatric-alert and medical-alert dogs. It asks for contact before booking where possible; dogs cannot be booked online and cabin numbers may be limited.

Article 1 describes disability-assistance dogs trained by prescribed Assistance Dogs (UK) charities in the UK; affiliated IGDF, ADI or Assistance Dogs Europe charities elsewhere; or another organisation meeting those standards.

Ask Virgin to assess your actual task training and records, especially for owner-trained or independent-trainer dogs. Obtain a decision for the dog and each operating flight. Do not present the organisation wording as a universal legal requirement, or assume an identification card guarantees acceptance.

UK guidance is a separate layer

CAA CAP2990 covers UK departures and UK/EU-carrier arrivals into the UK. It recognises ADI/IGDF training, ADAA accreditation or evidenced equivalent-or-higher standards, with training evidence and a handler’s task declaration. Emotional support alone is excluded.

ADI means Assistance Dogs International; IGDF means International Guide Dog Federation; ADAA means Assistance Dogs Assessment Association.

Discuss any difference between the airline’s wording and applicable guidance before buying tickets. Airline acceptance, government entry clearance and public-access rights at the destination are separate decisions. A training document does not create universal permission.

Request the current form and checklist

Virgin’s published partner guidance asks for assistance requests as early as possible, at least 72 hours before flight, and links its contact form. Article 15 separately gives 48 hours for airport assistance.

The contact-form page currently warns of webform problems and directs urgent enquiries to its contact channel.

Start with the airline’s Accessible Travel Services. Request the current dog-specific form, submission address and deadline; a working dog form and complete current checklist could not be verified in this review. Do not treat a general assistance request, a form submission or the 48-hour airport notice as dog approval.

Have the booking reference or proposed itinerary, operating flight numbers, dates, breed, weight, size, trained tasks and supporting records ready. Ask which documents must be sent, when originals are checked, and how written acceptance will be supplied. If departure is close, contact the team promptly rather than assuming acceptance or automatic refusal.

Confirm the route, breed and operating carrier

Article 16 requires advance agreement and valid health, vaccination, permit and travel documents. It allows refusal for operational/safety reasons, contagious or life-threatening illness, disruption or conflict with departure, entry or transit law.

Ask about both directions, all connections and any partner-operated segment. Confirm the actual dog’s breed and route rather than using an old restriction list or assuming every destination accepts it. A Virgin flight number does not settle another operator’s acceptance. Recheck after a route or aircraft change.

Space, restraint, behaviour and costs

CAA passenger guidance describes free assistance-dog carriage, usual floor placement and a safety harness for take-off/landing; it notes possible second-seat charges for size.

CAP2990 says a safety-required additional seat should be free; comfort alone does not require that.

Confirm the dog’s floor space, permissible number per passenger and per flight, leash/harness use, any muzzle requirement, behaviour standard and extra-seat decision with Virgin. The current reviewed material does not establish a numeric quota or complete dog-specific equipment protocol. Ask the reason and price before agreeing to additional space; border inspection and veterinary costs remain separate.

For flights to or from the United States

US DOT guidance covers flights to, within and from the US. It recognises individually task-trained dogs, including psychiatric service dogs; emotional-support animals and dogs in training are excluded. Airlines may require the DOT health/training/behaviour form and a relief form for flights of eight hours or more. Other documentation is restricted to animal-transport requirements imposed by government jurisdictions.

DOT also requires safe cabin accommodation without obstructing aisles/exits and appropriate behaviour; disruptive dogs may be refused.

Ask Virgin which current DOT forms apply to your sector and where to send them. Resolve any conflict with its general training wording through the airline before travel. These US rules should not be copied onto unrelated routes.

CDC entry requirements depend on vaccination location and the dog’s previous six months of travel. Use its dog-import guidance separately from airline approval.

Great Britain arrival and Heathrow pre-approval

GOV.UK lists Virgin Atlantic for airports with an approved assistance-dog checker. Confirm continuing airline approval and departure airports with the carrier.

For Heathrow arrival or transit, HARC requires pre-approval. Send Stage 1 to harc@cityoflondon.gov.uk at least seven days before scheduled departure, with the requested itinerary, airline acceptance, dog-status evidence and health papers. Its 72-hour response target is not the submission deadline or a clearance guarantee.

HARC can recognise evidenced equivalent-or-higher training, alongside listed accreditation routes. Dogs it does not recognise incur a £462 checking fee and can receive pre-approval only for direct arrival from the USA. At Heathrow, wait for its representative before entering the terminal and present the original documents.

Use the checker for your actual arrival airport. Ask about recognition, required evidence, charges, hours and delay arrangements. Keep checker clearance separate from airline acceptance. Do not assume that a Heathrow letter approves a connection, another airport or entry into the onward destination.

Animal-health rules and the final check

GOV.UK requires assistance dogs to meet normal dog-travel requirements. It links the applicable microchip, rabies, possible blood-test, tapeworm and travel-document rules.

Check departure, transit, destination and return requirements with the responsible authority and an official veterinarian. Great Britain guidance is for England, Scotland and Wales; use the correct jurisdiction for Northern Ireland and other destinations.

Keep the operating itinerary, written dog acceptance, equipment/seating confirmation, original travel papers and arrival-checker instructions together. The service-dog reference and connection checklist help organise remaining questions.
